Maintenance and Compliance Administration Manager

In recent years we have made great progress in property standards, and also in our compliance with important items such as gas safety certificates, fire risk assessments, electrical safety and other compliance requirements we have as a landlord. Of course there are always areas where we know we can improve, and there are a number of areas where we need to improve our systems to comply with new expectations from the Regulator of Social Housing, including reporting against Tenant Satisfaction Measures.

As a small provider we do not have a range of trade disciplines ‘in-house’ and we rely on clear processes, quality standards and effective contractor management to meet our customer’s needs and our corporate obligations.

You will support the Head of Housing to ensure we are an excellent landlord by ensuring that our compliance targets are met, for instance overseeing the current process for recording and monitoring tests, and arranging contractors across the board – such as in fire alarms, fire doors, asbestos, legionella control, gas and electrical safety.

Being at the centre of our approach to maintaining the safety of our properties will mean you have an important role in and helping to keep our residents safe and secure in their homes. You will have a key role in administering the work of our contractors, monitoring their performance, maintaining records, and implementing quality measures. Some of our capital funding sources require comprehensive audit trails, and you will be asked to lead on supplying the information for compliance audits.

We are looking for a highly organised and motivated individual that can quickly learn current processes, and work with service leads to improve them to meet new needs.

An understanding of all property matters, e.g. Health and Safety and landlord responsibilities will be helpful – although training and support are available. More important is the ability to take responsibility to organise our systems, communicate very well with our teams, liaise with the right contractors and see the process through to a satisfactory conclusion. Often this may include the agreement of a scope of works and a process of seeking quotations as required by our Procurement Policy, as well as instructing the works and recording performance such as Quality and Timeliness.
